IMEX Frankfurt is one of the key events in the meetings industry, attracting participants from all over the world every year. Poland will also take part in this year’s edition of the fair, which will be held at Messe Frankfurt on May 20-22. Representatives of the Polish meetings industry can register their participation until March 14, 2025, and the process is coordinated by the Polish Tourist Organization – Meetings and Events Office.
Trade fairs are one of the most effective marketing communication tools, and for over 20 years, IMEX has been one of the two most important global events in Europe dedicated to the meetings industry. It is a place where professionals present their offers, promote destinations, and establish new business relationships, drawing inspiration for the organization of future events.
Rules and available places
This year, POT plans to participate in IMEX 2025 in Frankfurt with an exhibition stand consisting of:
– 13 modules with a counter
– and, in case of greater interest, 2 additional meeting tables
allocated according to the following key:
– 5 places for municipal and regional Convention Bureaux
– 5 places for professional POT organizers – PCO/DMC
– 3 places for transport (e.g., PLL LOT) and congress/hotel facilities with offers for the MICE sector
This division is determined by the supply chain in the organization of meetings and events and the results of an audit of meetings held at PSN in previous years (total confirmed meetings). It is worth noting that the first choice cities and PCO/DMC host the most meetings.
As a reminder, each Exhibitor is entitled to 1 trade fair profile with 1 meeting calendar, and the stand cannot be shared with another commercial entity. The exception is the cooperation between Warsaw Convention Bureau / Mazovia Convention Bureau and Poznań Convention Bureau/ Poznań Congress Center.
Trade fair package
A Promotional Trade Fair Package has been prepared for you in the attachment. The value of the package has been increased to PLN 15,000, which represents approx. 40% of the participation costs before 2020.
Acquisition process
– The first step in registering for the event is to read the document “Rules for participation in Polish National Stands organized at international tourism and meeting industry trade fairs” dated February 24, 2025 (available for download below) and complete the preliminary application.
– Based on this application, the Polish Tourist Organization will assess the exhibitor’s participation criteria and then prepare an appropriate agreement for participation in IMEX Frankfurt 2025.
– Please send the signed application form by email to: aneta.ksiazek@pot.gov.pl and cc to polandcb@pot.gov.pl by March 14, 2025 (by 10:00 a.m.).
– Upon receipt of the application, a confirmation message will be sent. If you do not receive a confirmation message, please send a reminder (by email or phone), as messages sometimes end up in spam folders.
– Exhibitors who do not meet the participation requirements or are not accepted due to lack of space will be informed of this fact by email.

Statistics of the IMEX Frankfurt 2024 trade fair
In 2024, the IMEX trade fair in Frankfurt attracted a total of 12,000 participants. During the event, 63,000 business meetings were scheduled. There were 4,200 buyers and 179 media representatives from 22 countries participated in the fair. 3,100 exhibitors representing 150 countries presented their offers.
