The MICE industry in Warsaw ended the 2024/2025 conference season with a growing number of events and changing preferences regarding their formats. Hybrid conferences took the lead among the most popular trends, and event space owners in the capital quickly adapted their spaces to the new requirements. Now it’s time to take a breather and look back at what has changed in the MICE industry.

The beginning of summer is a time for summarizing and planning for the next business season. Before the conference season gets back into full swing in the fall, service providers in this industry are preparing their offers. Proposals for organizing holiday events are already available, and new spaces are being put into use, such as the new conference rooms at Leonardo Royal Warsaw. All this is to ensure that from September and October, when interest in events peaks, services of the highest standard can be provided. The chart below, “WARSAW CONFERENCE SPACE OCCUPANCY %,” compiled by Seerio in Q1 2025 from data collected from 10 selected hotels in Warsaw, illustrates not only the discussed increase in conference space occupancy, but also the summer lull in events.

Hybrid conferences – a trend that has become the new standard

In 2025, hybrid conferences became the standard in event organization, and this is a clear signal from the inquiries received by Leonardo Hotels. Combining live meetings with online participants has become not only a convenient solution, but also an indispensable tool in response to the expectations of the modern world.

“Warsaw hotels have quickly adapted their offerings to market needs by preparing modern conference rooms with extensive streaming services. Of course, on the one hand, this move allows organizers to facilitate interaction between stationary and remote participants, and on the other hand, it makes hotels a much more desirable partner for cooperation. NYX Hotel Warsaw and Leonardo Royal are prepared to organize hybrid meetings, and such inquiries come as no surprise to anyone. Often, despite planning the main event to be live, companies want to be able to connect with more participants online,” says Kamil Sawicki, Cluster Poland Convention Sales Manager.

What trends will dominate the 2025/2026 conference season?

Hybrid events, combining on-site participants with those attending remotely, have become the norm, and this trend will continue to grow. Organizers will invest in modern technologies and numerous supporting amenities that will enable interactive communication and engagement between both groups of participants.

According to Kamil Sawicki, even more companies will strive to organize events in an environmentally friendly manner. This includes choosing venues that use sustainable practices, reducing the use of plastic, choosing more environmentally friendly means of travel, offering sustainable menus, and minimizing carbon footprints.

Outdoor corporate events and those where at least part of the event, such as the welcome, takes place outdoors will become increasingly popular. An example of this is the NYX Hotel in Warsaw, whose rooftop bar, Ether, is the perfect place for pre- or post-conference group integration.

Such solutions respond to the growing needs of organizers who want to combine business with creative forms of integration.

Investments in coworking spaces and flexible conference offerings

Over the past year, the structure of conference space utilization in Warsaw has changed significantly. Although throughout 2024, most events took place in the smallest rooms (up to 20 m² – an average of 93 meetings per facility), in 2025, the importance of larger spaces is growing. Last year, an average of 12 meetings were held in rooms larger than 1,000 m², and the data for Q1 2025 alone already reaches half of this result. This confirms the demand for flexible solutions that allow for larger-scale events to be organized. This makes the capital one of the most active and fastest-adapting MICE markets in Central and Eastern Europe. The Leonardo Royal Hotel has also responded to this need by opening modern conference rooms that flexibly meet the needs of both small meetings and large business events.

“The hotel currently offers seven spacious rooms with an area of up to 231 m², located on two floors. We have the possibility of bringing a car or larger equipment into the room on the ground floor. In line with current trends, we also have videoconferencing systems that enable interactive sessions, as well as technical support that provides greater comfort for event organizers,” says Kamil Sawicki.

The flexible layout of the rooms at the Leonardo Royal Hotel Warsaw allows them to be adapted to different meeting formats. The facility is fully ready to host all kinds of events, not only in the new business season, but already during the summer holidays.
