Demand Leaders: Who is Booking Polish Venues Today?

The analysis of client structures in 2025 brings some interesting reshuffles. While the medical and pharmaceutical sector consistently holds the leader’s jersey (over 55% of responses), the true hero of the past year is the financial industry. With a score exceeding 47%, the financial services sector has become one of the main pillars driving conference venues, pushing trade—which saw a decline compared to 2024—further down the list. For venue managers, this is a clear signal: training and conference budgets have shifted toward high-specialized services, requiring hotels to provide better technical facilities and discretion.

The Conference Wallet: Between Workshops and Large-Scale Events

Statistics regarding the number of events inspire moderate optimism. Nearly half of the surveyed venues organized more than 70 training sessions annually, and every third venue hosted more than 70 large conferences. The financial data is equally revealing—while a net revenue of over 8,000 PLN is the standard for smaller training sessions, a correction is visible in the conference segment. The most frequently reported net revenues fall within the 20,000 – 40,000 PLN range. The dominance of paid conference portals (nearly 87% share) is now a fact, but the key change is the rapid growth in the importance of Google Ads (jumping from approx. 32% to 48%). Why is this happening? The development of Artificial Intelligence in search engines (AI Overviews) has caused organic traffic to drop drastically. Venues that want to survive today must invest in precise paid campaigns and maintain a strong presence in specialized industry directories. Outside the web, recommendations and active direct sales remain the “hardest currency” in the MICE industry.

New Hotelier Fears: Competition Replaces Utility Bills

The focus of venue managers’ concerns has shifted. Just a year ago, the primary enemies were electricity and gas prices. Today, the market has “tamed” these costs, and increased competition (51%) has taken center stage. This proves that the market is saturated and fighting for the same demanding client. What is more worrying than before? The geopolitical situation beyond Poland’s eastern border. The percentage of venues fearing destabilization has more than doubled (from approx. 7% to nearly 19%), showing that regional safety has become a tangible business factor.

Based on the collected data, the upcoming seasons in the MICE industry will be characterized by modernization rather than expansion. Since nearly half of the venues do not plan new investments—only refreshing their existing base—the winners will be those who prioritize “user experience” and modern AV. Marketing will evolve toward automation and an even stronger presence in AI-based ecosystems.

The Masovian Voivodeship, representing over 20% of the surveyed sample, remains the heart of the Polish MICE market. For this region, key trends include:

  • Dominance of the Financial Sector: As the country’s financial hub, Warsaw and its surroundings have the best chance of capturing lucrative contracts from this rapidly growing branch.
  • Professionalization of “Other” Venues: Mazovia is not just about 4-star hotels; it also offers unique post-industrial and palace venues. Their development provides an opportunity to attract premium and incentive events.
  • Safety and Logistics: Despite geopolitical anxieties, Mazovia—thanks to its infrastructure (CPK, airports)—is perceived as the most stable and best-connected hub in Central Europe, which is a crucial argument for international corporations.
